Artificial Intelligence Usage Policy

The development of Artificial Intelligence (AI) technologies, particularly generative AI, is continuously transforming the landscape of research and academic writing. Revista Sarance recognizes the potential of these tools when they are used responsibly and serve as personalized support for tasks such as content organization, writing enhancement, grammar and spelling correction, and the improvement of overall readability, as well as technical support for readers, editors, and reviewers.

To ensure that submitted works comply with the standards established in our Code of Ethics and to guarantee maximum transparency, the journal establishes the following policies regarding the use of Artificial Intelligence:

1. The Use of Artificial Intelligence and AI-Assisted Tools

Under no circumstances shall AI or AI-assisted tools replace the critical thinking or expertise of the researcher. The use of any automated tool requires human oversight and review. Regardless of the tools employed, authors bear sole responsibility for verifying:

1.1. Limits and Permitted Uses of AI

Sarance Journal permits the use of Artificial Intelligence or AI-assisted tools solely for the following purposes:

In general, Revista Sarance does not permit the use of AI to:

1.2. Use of Generative AI in Graphics and Images

Sarance Journal does not permit the use of AI or AI-assisted tools to create or alter images included in submitted manuscripts. This includes enhancing, obscuring, moving, removing, or introducing specific features within an image or figure. This policy is intended to ensure that visual materials remain authentic, do not reflect deceptive manipulation, do not alter research results, and allow for proper peer review.

Basic adjustments to brightness, contrast, or color balance are acceptable, provided that they do not conceal or remove information present in the original file.

An exception may be granted for AI-generated images or videos included in manuscripts that specifically address AI, machine learning, or the generative capabilities of technology as the object of study. Such exceptions will be evaluated on a case-by-case basis and must be explicitly disclosed upon manuscript submission. In these cases, authors must provide a detailed explanation of how AI was used in the creation or alteration process, specifying the model or tool name, version number, scope of use, and developer.

2. Responsibility and Transparency

Whenever an author uses AI within the limits permitted by this policy, they must review the terms and conditions of the tool employed to ensure the privacy and confidentiality of their data, protecting both unpublished manuscripts and any personally identifiable information.

Authors must ensure that the selected tool is granted only limited rights—strictly those necessary to provide the assistance service—and no additional rights, including, without limitation, permission to train AI models using the submitted materials. Authors must also verify that the tool's policies do not restrict the subsequent publication or dissemination of their work.

Authors are required to carefully edit and review all materials after the use of assistance tools, ensuring that the final manuscript represents an authentic, original contribution that faithfully reflects their own analysis, interpretation, and writing style.

3. Mandatory Disclosure of AI Use

Authors must explicitly disclose in the manuscript whether generative AI tools were used at any stage of the research or writing process, provided that such use complies with the provisions of this policy. This disclosure must be included in a dedicated section entitled "Statement on the Use of AI", placed immediately before the references section.

The statement must specify:

Example Statement: The authors used Google Gemini to improve the wording of the manuscript and to perform orthographic and typographic review. The intellectual content, study design, data analysis, and conclusions remain the sole responsibility of the authors.

If no AI or AI-assisted tools were used, this section must explicitly state so (for example: The authors declare that no Artificial Intelligence tools or automated assistance were used at any stage of the research process or in the preparation of this manuscript.).

4. Authorship

Under no circumstances shall Artificial Intelligence or AI-assisted tools be listed as authors or co-authors of a submitted work. Academic authorship entails legal, ethical, and intellectual responsibilities that can only be assumed and exercised by human beings.

Authorship requires the legal and intellectual capacity to approve the final version of the work, consent to its submission, and take responsibility for the originality and integrity of the study.

5. Policy Updates

Revista Sarance recognizes that the field of Artificial Intelligence is evolving rapidly. Consequently, this policy will be reviewed and updated periodically in order to respond to technological advances and to ensure best editorial practices within the international academic community.
